Uganda: Finance and Administrative Officer
The Coalition for Peace in Africa (COPA) Eastern Africa Regional office would like to recruit the Finance/Administrative Officer for the Applied Conflict Transformation Studies (ACTS) Programme. This is a two-year Masters programme in conflict transformation, which bridges the gap between academic research and the wealth of experience that exists on the ground.
Finance and Administrative Officer
Location: Gulu, Uganda
The Coalition for Peace in Africa (COPA) Eastern Africa Regional office would like to recruit the Finance/Administrative Officer for the Applied Conflict Transformation Studies (ACTS) Programme.
This is a two-year Masters programme in conflict transformation, which bridges the gap between academic research and the wealth of experience that exists on the ground.
ACTS is currently being established in three centers- the Balkans (Novi Sad, Serbia), Asia (Phnom Penh, Cambodia) and East Africa (Gulu, Uganda).
Job Description Summary
1. Provide primary administrative support for ACTS courses including:
Acknowledge and process applications, follow up on student references, and handle all corresponce with applicants and participants
Input information and maintain contact and course databases, and student records
2. Provide primary financial services including:
Prepare budgets and financial statement for donors
Clarify costs for participants and general course costs.
Monitor day to day expenditures, and ensure compliance with the budget.
Issue and track records.
3. Manage the ACTS library/resource room including:
Order and process new publications
Keep the library/ resource room database up to date.
Ensure that current periodicals/magazines are available.
Oversee the lending and return of books and videos during courses; follow up on overdue materials.
Conduct an inventory every six months.
4. Provide routine office work, including:
Handle correspondence and administration from general enquiries.
Access information and resources from websites
Handle travel logistics
Answer the telephone and the door, and welcome visitors
Filing
Perform other tasks necessary for the efficient running of ACTS: mail general photocopying, order stationery and supplies, keep information up-to –date, administrative housekeeping.
Specific Skills Required
Commitment to the ACTS vision
Sound knowledge and experience of routine office procedures
Proficient in information technology, e.g. word processing and other software packages, email, internet
Good writing and communication skills
Experience working in a multi-cultural environment
Good time management skills
Sense of humor
Ability to establish working relationships with all members of the ACTS Team, including students
Ability to work in the English language.
Education and Experience
A university degree, preferably in business administration or accounting, or proven ability to perform the tasks commensurate with such a formal academic qualification.
Self motivation and ability to work under pressure
